Scaling Your Setting: Team & Assistant Management

Managing assistants isn't just about payroll; it's about maintaining statutory ratios and ensuring your setting remains compliant with Ofsted and HMRC. KinderStart's Team Hub provides a centralised "Command Centre" for your staff's documents, hours, and professional development.

Step 1: Scaling Your Ratios

The primary reason to hire an assistant is to increase your child-to-adult ratio.

  • Static Ratios: KinderStart uses your staff clock-in data to verify that you are working within legal limits.
  • Ratios Dashboard: View your real-time capacity in the Occupancy Report to see whether you can safely (and legally) offer more places.

💡The School Run

Assistant Availability. Ofsted rules for assistants usually require them to be under your "Direct Supervision." If your assistant is doing a school run while you remain at home with younger children, your setting's total capacity drops back to your individual ratio (e.g., 1:3 under 5s). Use the Staff Schedule to ensure your assistant's "Out-of-Setting" time is logged correctly to avoid accidental ratio breaches.

Step 2: The Assistant Invite (Secure Onboarding)

Don't share your password! Each assistant needs their own secure login.

  1. Navigate to the Tools tab, scroll down to Team Management, and tap it.
  2. Tap the "+" (Plus) button to send an Assistant Invite.
  3. Enter their email. They will receive a link to create their own account with restricted "Assistant-Level" permissions.

⚠️Statutory Requirement: DBS

Suitability to Work. You MUST verify and log an assistant's DBS Enhanced Disclosure and Paediatric First Aid (PFA) certificate before they are left alone with children. KinderStart will mark these profiles as "Action Required" until these documents are uploaded and verified by you.

Step 3: Clock-In & Timesheets

KinderStart automates your payroll prep by tracking every minute worked.

  • Daily Flow: Assistants clock in/out directly from the Quick-Log FAB (Plus button) on the main dashboard.
  • Timesheet Management: In the Team Hub, review, edit, and approve these logs at the end of the month. For detailed steps, see the Timesheet Management guide in the guides section.
  • Leave Approval: Assistants request holiday or sick leave via their own portal, which appears for your approval in the Leave Management screen. For detailed steps, see the Leave Approval guide in the guides section.

Step 4: Assistant Payroll & HMRC

Once timesheets are approved, KinderStart generates a Payroll Summary:

  1. Go to Team Management > Assistant Payroll.
  2. Select the employee and the pay period.
  3. The app calculates the total pay based on their hourly rate and approved hours.
  4. HMRC Ready: Export these summaries to your accountant or payroll provider for RTI submissions.

💡Professional Growth

CPD Tracking. Ofsted loves to see "Supervision" and "Continuous Professional Development" (CPD). Use the Assistant Profile to log supervision meetings and upload new training certificates for your staff. This builds a robust evidence trail for your next inspection. Step 5: The 2-Hour Sole Charge Limit

When you leave the premises, your assistant is in "Sole Charge" of the setting. Ofsted allows assistants to be solely in charge for up to 2 hours at a time.
