Managing your assistants

Invite assistants with their own login, track DBS and first aid expiry, and review timesheets, leave and pay.

ℹ️Who this is for

Childminders who employ, or are about to employ, an assistant. You need each assistant's email address and hourly rate, and Employers' Liability Insurance. Inviting someone takes about five minutes.

My Team is where you invite assistants, check their DBS and first aid dates, and review their hours and pay. Each assistant gets their own login, so you never share your password.

1. Open My Team

Open the Tools tab and tap Team Management. My Team shows Current Team, any Former Team, and Sole Charge History.

2. Invite an assistant

  1. Tap + at the top right. Invite Assistant opens.
  2. Leave Assistant selected. Choose Co-Childminder only for a partner who should have full access to everything.
  3. Enter the Assistant's Name, Assistant's Email Address and Hourly Rate (£).
  4. Tap Send Invitation.
  5. Confirm the Insurance Acknowledgment: "I confirm I hold valid Employers' Liability Insurance as required by UK law to employ staff." Tap I Confirm.

KinderStart creates their account straight away and emails them a temporary password. When they first sign in, they choose their own password on Set New Password.

⚠️Sending an invite creates a real account

Check the email address before you send. You can't delete an assistant's account from the app. You can only deactivate it, and they stay listed under

Former Team

.

If the email doesn't arrive, open their profile and use Resend Welcome Email. This only works until they've set their own password.

3. Record their checks

Tap the assistant under Current Team. In Statutory Checks, add their DBS Number, DBS Issued date and PFA Expiry date.

My Team then warns you when a check is due. A Document Expiry banner appears 90 days before it runs out, and becomes Critical Expiry in the last 30 days.

On the same profile, choose what the assistant is allowed to do, such as Approved for sole charge or Administer medication.

4. Review hours and pay

The assistant's profile has tiles for:

  • Timesheets: review their clock-in and clock-out times.
  • Payroll & Pay: see their pay for a period from their hourly rate and approved hours.
  • Leave Approval: approve holiday and sick leave they've requested.
  • Supervision, CPD Uploads and Contract: keep their supervision notes, training certificates and employment contract together.
  • Sole Charge History: times they were left in charge.

Assistants clock in and out, and start and end sole charge, from their own home screen.

5. When an assistant leaves

Open their profile and tap Deactivate Assistant. Their access stops straight away. Their timesheets and compliance records are kept, and they move to Former Team.
