Staff policies and sign-off

Choose which policies your assistants must read, how often they sign them again, and see who is signed, due or overdue.

ℹ️Who this is for

Childminders who work with assistants. You choose which policies your team has to read, how often they sign them again, and see who is up to date. Assistants sign in their own app.

Your policies can now be for parents, for your staff, or both. Staff policies go to your assistants to read and sign, and KinderStart tells you when each sign-off is due again.

1. Open your policies

Open the Tools tab and tap Policy Documents. Your policies are listed in two sections: Parent policies and Staff policies. Policies you had before this change stay under parents, exactly as before.

2. Choose who a policy is for

Create a policy from a template or upload your own, or open an existing one. Under Who is this policy for? choose Parents, Staff or Both. A staff-only policy is never shown to parents.

3. Choose how often staff sign it

When the audience includes staff, How often must staff sign it? appears. Choose None for a one-off, Yearly, or Termly. Termly follows your term dates, or the standard terms if you haven't set any. Changing who a policy is for, or how often it's signed, doesn't create a new version.

4. Your assistant signs it

On their dashboard, your assistant sees Sign Policies with how many are due. They open each policy, read it and sign. When they're up to date it says All signed.

5. See who has signed

Back in Policy Documents, tap a staff policy to see each assistant marked Signed, Due or Overdue, with the date they signed and when it's next due. You can also see one assistant's sign-offs under Policy sign-offs on their training page.

ℹ️Who wrote this plan?

Weekly planning activities now show Created by and Last edited by for your team, so you can see who planned what. Parents never see these names.

ℹ️Money stays with you

Assistants can't open invoices, funding or finance screens, and the app's servers refuse those requests from an assistant too. Their own timesheets and pay are unaffected.

✅Why KinderStart does it this way

Inspectors expect you to show that everyone working with children has read and understood your policies, and that they refresh it. A dated signature for each assistant, with a reminder when it's due again, is that evidence, kept with the policy it belongs to.
