Five Ways to Export Data

1. Single Child Export (Most Common)

Use when: A child is leaving your setting, parents request their data, or you need a backup of one child's records.

How to access:

  1. Open the Children tab
  2. Tap on the child's name
  3. Tap the overflow menu (⋯) in the top-right corner and select Export Profile
  4. Select format, categories, and date range
  5. Tap Generate Export

What you get: A complete archive of that child's journey with you.

2. Export History

Use when: You need to re-download a previous export or check the status of processing exports.

How to access:

  1. Tap the Tools tab
  2. Scroll down and tap Export History
  3. View all past exports with status and download links

What you see: Every export you've ever generated, with 24-hour secure download links.

3. Inspector Quick Export (Ofsted-Ready)

Use when: You have an Ofsted inspection and need compliance-focused reports quickly.

How to access:

  1. Tap the Tools tab
  2. Scroll down and tap Inspector Quick Export
  3. Select children to include
  4. Tap Generate Inspector Reports

4. Bulk Export (Business Closure)

Use when: You're closing your setting and need to archive all children's records at once.

Date Range Selection

By default, exports include all historical data. Optionally filter by date range:

  • Since joining → Complete record for child leaving

Exports are generated asynchronously (in the background) to avoid blocking your app:

Download & Security

Secure Presigned URLs

  • Downloads use 24-hour expiring links from AWS S3
  • Links are unique per export and cannot be reused after expiry
  • No one can access your exports without authentication

Re-downloading

  • Visit Export History to re-download any export generated within the last 30 days
  • After 30 days, exports are automatically deleted from our servers for data minimization
  • Save exports locally for long-term archival

Storage Recommendations

  • Short-term (parent handovers): Store locally on your device
  • Long-term (21-year retention): Upload to encrypted cloud storage (iCloud, Google Drive with encryption enabled) or burn to DVD/USB drives stored securely
  • Never: Email unencrypted exports containing safeguarding data

Scenario 1: Child Leaving Your Setting

Situation: Emily is starting school next month. Her parents want her complete records.

What to do:

  1. Open Emily's child profile
  2. Tap the overflow menu (⋯) → Export Profile → Select ZIP Archive
  3. Include all categories except financial (unless parents specifically request)
  4. Wait for notification (3-5 minutes)
  5. Download and share link with parents via secure channel (e.g., in-person QR code or encrypted email)

No export limits: Generate as many exports as you need. No monthly caps or charges.


Troubleshooting

Export stuck on "Processing"

Cause: Large media files (videos) taking longer than usual
Fix: Wait up to 15 minutes. If still processing, contact support—we'll check server logs.

Cause: Links expire after 24 hours for security
Fix: Go to Export History → Find the export → Tap to regenerate download link

ZIP file too large to email

Cause: Export contains hundreds of high-resolution photos
Fix: Use WeTransfer, Dropbox, or Google Drive links instead of email attachments

"No data found for date range"

Cause: Selected date range has no records
Fix: Expand date range or check that child was actually in your care during that period

Missing photos in PDF

Cause: Photos not uploaded to cloud storage (offline mode)
Fix: Ensure app has synced before generating export. Check storage settings.


Best Practices

For Parent Handovers

  1. Generate ZIP archive 2 weeks before child leaves
  2. Include a personalized cover letter thanking parents
  3. Provide USB drive or secure cloud link (not email)
  4. Walk parents through folder structure if handing over in person

Q: Do exports include deleted records?
A: No. If you've deleted an observation or diary entry, it won't appear in exports. Only current data is exported.

Q: Can parents access their own exports?
A: Yes, via the "Request My Data" feature in their parent portal. Or manually share download links.

Q: How long should I keep exports?
A: 21 years from the child's last day of attendance (Limitation Act 1980 requirement for personal injury claims).

Q: Can I edit an export after it's generated?
A: No. Exports are snapshots of data at the moment of generation. To update, generate a new export.

Q: What happens if I delete a child's profile?
A: Their existing exports remain available for 30 days in Export History. After that, they're deleted. Always generate and save exports BEFORE deleting child profiles.

Q: Can I password-protect exports?
A: Not within KinderStart. After downloading, use your computer's encryption tools (Zip with password, encrypted USB drive, etc.) to add password protection.

Q: Do exports count against my storage quota?
A: No. KinderStart stores export files separately — they don't count against your 10GB media storage limit.
